Each venue is provided with a fair processing notice – we ask that this is prominently displayed. Additionally we are able to provide card size fair processing notices that your door staff should carry and make available to customers who require further information.

As a part of your normal operational schedule your staff and door should study and understand this document and be able to answer your customer’s questions.

W e would ask if you can make your staff fully aware of the content of the main principles of the data protection act, the data notices we provide and the answers to the following questions which the public may ask.

Q. Is clubscan voluntary

A. Yes you are not required to allow us to process your information

Q. How long is my data held

A. You can have your data removed immediately by letting me know now, alternatively we will hold your data for up to 12 months from your last visit to this venue for marketing and security reasons, but no more than three years for due diligence and public liability reasons. clubscan has an built in feature that purges out-of-date information.

Q Who else other than the venue might have access to my information

A In the event of an incident , we may share information with the police, local authorities or Pubwatch type organisation.

Q. What are you going to use the information for.

A We would like to send you up to 12 mailed invitations to events at this venue, we use generic information for marketing purposes, we create a log of customers who attend, we ensure that you are oflegal age to drink in this venue and that you are not on our banned list.

Q How do I know my information is stored safely.

A . Our access is restricted to the Album screen which only carries you facial image and age, all other areas are password restricted and covered by encryption security features.
